Copy, Print, or View Extracted Text on the Extracted Text Tab
As its name implies, extracted text is the text from a particular document—in plain text format. Extracted text appears on the Extracted Text tab in the document details pane of Review. If your LOCAL DISCOVERY database does not include a field defined as EXTRACTEDTEXT, or that field does not contain information, then the Extracted Text tab will be blank.
If a document has been OCR’ed, then that content appears on the Extracted Text tab. In this case, note that if annotations exist:

Redactions are omitted or replaced with one or more non-alphanumeric characters.

Embedded text is not included.
-
Other annotations (sticky flags, highlighting) are ignored.
Text search “hits” are highlighted in the Extracted Text tab. If your administrator has configured key words, they will also be highlighted in this tab. Scroll to see highlighted terms in this tab. If needed, increase the amount of text (block size) that is visible. See Search and Keyword Highlighting for details on navigating through search or key-word terms.

Note: With the following exception, anyone with privileges to view a case or batch can view the contents of the Extracted Text tab.
Reviewers who do not have the privilege to see underneath redactions (called “restricted users” in this discussion), will have limited access to content on the Extracted Text tab after redactions are added.

When a user other than the restricted user adds a redaction, the restricted user will not see content on the Extracted Text tab.

When a restricted user is the only person who has redacted content on a page, the user will be able to see the content they have redacted on that page.
If you have any questions about your rights to see extracted text, contact your administrator.

Click the links below to view step-by-step procedures for copying, printing, or viewing extracted text.
If you have the privilege to view extracted text, you can
copy it from the Extracted Text tab. To do so:

On the Dashboard, click the Review module.

Select a Client and Case and click Open.
- On the Case View tab, for
a selected record, click the Extracted Text
tab.

If
needed, adjust the block size
so that the needed text is visible on the tab. For more information, see

Select
the content to be copied. To select part of it, click and drag across
the content you want to copy. When the content is selected, release
the mouse button.

TIP:
To select content, you can also double-click a word, triple-click
or press CTRL+A to select all content,
or click at the beginning of a portion of the text, then Shift+click
at the end.

Press CTRL+C.

Open a file that is appropriate
to accept text (for example, a Microsoft® Notepad or Word
file).

Paste the copied text into
the file (for example, by pressing CTRL+V).
To print one or more pages of extracted text:

On the Dashboard, click the Review module.
-
Select a Client and Case and click Open.
- On the Case View tab, for
a selected record, click the Extracted Text
tab.

Optional: Right-click in
the extracted text and select View
> Preview to see individual pages and identify the page
or page range to be printed. Page numbers display
in the window as you scroll.

Right-click and select Print.
-
In the Print dialog box,
click Options to define various
as needed, such as the default font for the text body and header details.
Click More for additional
options.
When finished, click OK
in the Print Options dialog box.

In the Print dialog box,
click Setup to select the
printer and define printer-specific options and properties. Options
will vary depending on the selected printer.
When finished, click OK
in the Print Setup dialog box.

Complete the base Print
dialog box by selecting the page range, print quality, and number
of copies.

When all selections are
complete, click OK to print
extracted text file.
By default, the first 5 MB of
a document display on the Extracted Text tab. You have the option to show all extracted text (all pages of a document)
or to define a different block size.
Define Block Size
To change the block size for the Extracted
Text tab:

On the Dashboard, click the Review module.

Select a Client and Case and click Open.
- On the Case View tab, for
a selected record, click the Extracted Text
tab.

Click
in the tab toolbar.

In the resulting dialog
box, enter the needed block size in bytes, up to 500 MB (500000000 bytes). For example, enter 10000000 for
a 10-MB block size. Or, to display all text (regardless of size),
enter 0 (zero).

Click OK.
This is a user-specific setting for the case.
View Extracted Text
To view extracted text:
-
On the Dashboard, click the Review module.
-
Select a Client and Case and click Open.
- On the Case View tab, for
a selected record, click the Extracted Text
tab.

Examine the tab contents.
As needed, scroll to view all content on the tab.

If you need to see more
than the block size allows, either click Load
All Text to see all content for the selected record, or change
the block size as described in the previous procedure.
